Voxahaus

Your first 30 days with Sofia.

Sofia is your new full-time receptionist. She doesn't sleep, doesn't ask for raises, and she already knows everything from your onboarding form. This is everything else worth knowing.

1. Forward your business number

This is the one step that actually matters. Until your business number forwards to the Voxahaus number we assigned you, Sofia can't answer a single call.

Find your forwarding number in the dashboard under Settings. Then forward your existing business line to it using your carrier's shortcode:

  • Verizon, AT&T, T-Mobile (most US carriers): dial *72 + your Voxahaus number, hit call, wait for tone, hang up. To turn off: dial *73.
  • iPhone (any carrier): Settings → Phone → Call Forwarding → toggle on → enter your Voxahaus number.
  • Google Voice: Settings → Calls → Linked Numbers → add your Voxahaus number → forward all calls.
  • Office line (Ooma, Vonage, RingCentral, etc.):look for "Call forwarding" in your business phone admin panel.
Pro move: conditional forwarding.Most carriers also support "forward only when busy or unanswered" (typically *71). That way your phone still rings first; Sofia only catches the ones you miss. If you want to answer when you're free and have Sofia as a safety net, this is the setup.

2. Make a test call

From a different phone, dial your business number. You should hear:

  1. Two rings (or zero, if you set unconditional forwarding)
  2. Sofia greeting you with: "Hi, you've reached [your business name], this is Sofia, how can I help you?"
  3. A natural conversation. Try asking about a listing.

Hang up after a minute. The call will appear on your dashboard within ~60 seconds with full transcript and audio.

3. What Sofia can actually do

  • Answer questions about your listings: price, beds, baths, square footage, features. She has the data you entered.
  • Check your Google Calendar and book showings, if you connected your calendar in Settings.
  • Take messages: name, phone, what they wanted. Saved as a lead in your dashboard.
  • Text you hot leads immediately if the caller is serious (looking now, has financing, has a deadline).
  • Transfer urgent calls to your cell when the caller asks for you specifically.
  • Speak Spanish. She auto-detects the language in the first three seconds and switches.

4. What Sofia can't do (yet)

  • Read your MLS in real-time. She only knows listings you add.
  • Send contracts or sign documents.
  • Pull a CMA on the fly. She can take the address and tell you to follow up.
  • Negotiate. She schedules conversations with you; she doesn't replace them.

5. Your dashboard, room by room

Overview

Your daily glance: today's call count, hot leads to follow up with, and the "Needs your attention" strip. That last one is anything Sofia flagged for you: urgent transfers, unhappy callers, questions she couldn't answer.

Leads

Every caller becomes a lead, sorted by interest level. Hot leads get a gold tag. Text or call them within 4 hours. The kanban view lets you drag a lead through New → Contacted → Showing booked → Closed/Lost.

Calls

Every call, with full audio + transcript. Tap any call to see the conversation, leave private notes, or submit feedback if Sofia got something wrong.

Listings

Add new listings here as soon as you list them. CSV import for bulk. Voice input works too: tap "Record," describe the listing in 30 seconds, Sofia transcribes it and fills in the fields.

Settings

Change your AI's voice, language, transfer number, calendar connection, and emergency rules.

Billing

Cancel, upgrade to annual ($600/yr savings), update payment method, view invoices.

6. Daily habits (5 minutes)

  • Open the dashboard. Scan the "Needs your attention" strip.
  • Reply to any hot lead within 4 hours. Speed wins listings.
  • Add any new listings you took today.

7. Weekly habits (15 minutes)

  • Review 3-5 random call transcripts. If Sofia gave a wrong answer or missed something, hit "Submit feedback" on that call. We'll fine-tune her.
  • Update listing statuses (Active → Pending → Sold).
  • Update Sofia's instructions in Settings if you're getting the same wrong answer twice.

8. When something goes wrong

  • Sofia got a question wrong: go to the call detail page, scroll to the bottom, hit "Submit feedback". I read every one.
  • Caller complained about Sofia: same place. Tell me what they said.
  • You missed a call you should have caught: check Settings → Emergency rules. You can configure Sofia to always transfer calls from specific numbers (your top buyers, your brokerage) without the AI greeting at all.

9. The fine print every agent should know

  • 14-day free trial. Cancel anytime in Billing. No chase emails.
  • Calls are recorded. Sofia opens with that disclosure. You don't need to do anything extra.
  • Fair housing rules apply. Sofia is trained to avoid steering, demographic questions, and protected-class discussions. If you instruct her to do something that crosses that line, we override you. This protects you.
  • Your data stays yours. If you cancel, you can export everything (transcripts, leads, calls) from the dashboard before downgrading.

10. The first 30 days, day by day

Day 1
Forward your number. Make one test call. Bookmark your dashboard.
Day 2-7
Listen to every call. This is the "trust building" week. Submit feedback on anything Sofia got wrong.
Day 8-14
Stop listening to every call. Skim transcripts only when something looks off. You'll save 30 minutes a day.
Day 15
Decide on annual. If Sofia's saved you 10+ hours so far, switch and save $600/yr.
Day 21
Audit your funnel: how many calls, leads, showings, signed contracts? You should be able to draw a line from Sofia → revenue.
Day 30
